Knowing your needs

Gather requirements

We'll begin by learning more about your project. This helps us match you with the right factory, cost range, and production plan. You'll only need to answer a few key questions:

All-in-one sourcing

Stop juggling five suppliers for one business. Tell us your business type — gym, rental, cafe, corporate — and we source every product it runs on, factory-direct and on-brand, in one project.

Product development project

From concept to prototype, production, and delivery — we work with you every step of the way to turn your idea into reality.

There are generally 2 types of product sourcing:

Existing product sourcing — curated, high-quality merchandise that only needs your logo or brand color
Product development project — from concept to prototype, production, and delivery
Retail / e-commerce
Wholesale / distribution
For own use
Brand merchandise / corporate giveaways
Ready Stock → No customization, ship as is
Light Customization → Logo print or select from available colors
High Customization → New mold, custom Pantone color, packaging
R&D / Product Development → From concept to fully engineered prototype
How many units are you planning to order?
Do you have an expected reorder frequency or forecasted turnover?
When do you need the product delivered?
Delivery destination? (Country / City)
Shipping terms — FOB (you handle freight)
DDP (we deliver to your door, duty paid)
Do you have a target price range or cost expectation?
This helps us identify the correct quality tier and supplier level.

Once we understand your requirements, we'll use Tophney's Five Pillars Matching System to identify the optimal factory.

China has factories that say they can produce anything — but specialization matters. A factory that normally makes standing fans may accept a tower-fan project, sourcing unfamiliar components externally while only contributing its own motor. Naturally the cost increases — and quality, consistency, and delivery reliability decrease. The more specialized a factory is in your product category, the better the quality, pricing, lead time, and reliability.

This is our first and foremost screening filter.

Beyond equipment and price, we evaluate the factory by spotting six characteristics:

Response speed and clarity
Constructive communication
Detail and transparency in quotations
Proactiveness in updates
Problem-solving attitude
Basic professionalism and respect

A factory may offer the right price and quality — but if communication signals future risk, we proactively switch to protect your project.

We classify factories into three categories — Large (500+ staff, fully certified, best for major retail chains), Medium (100–500, certifications on request, the best balance of price and flexibility), and Small (under 100, most flexible, best for testing market demand) — to ensure the right operational fit for your project.

As the saying goes: you get what you pay for — in the best way. In China, every product exists in multiple quality tiers. Water bottles can cost $1 to $100; sofas can range from $30 to $5,000. Send us a sample or reference quality, or give us a target budget and we'll show you what's achievable at that tier.

Budget-friendly, mid-market, or premium — we match you with a factory built for that tier.

Once specifications are clear, we:

Compare pricing across at least two qualified factories
Verify quotes are within a reasonable market range
Flag whether a higher quote is justified or a lower one signals corner-cutting
Establish a clear timeline based on your delivery deadline
Negotiate faster lead times where realistically possible

Green light → once we get the go-ahead from you, you'll receive a Gantt chart timeline to track your project from beginning to end.

04

Gantt chart timeline

Every project follows a refined 14-step timeline in four phases. From the first idea to final delivery, you'll always know exactly what's happening, when, and what comes next.

Brief & source

We begin by understanding your product idea, specifications, branding needs, and project goals.

We identify the most suitable factories, negotiate on your behalf, and prepare a consolidated quotation for comparison.

You review pricing, MOQ, and terms, and we lock in the chosen supplier.

Final design details, materials, colors, and branding elements are confirmed before sampling begins.

Sample

The factory produces a physical sample based on your finalized specifications.

Your sample is shipped to you via express air freight for fast evaluation.

You review the sample and approve it, or request adjustments.

Production

You sign the contract we provided and transfer the initial 30% deposit so we can proceed to production with the factory.

The factory begins full production with ongoing monitoring to ensure quality and timeline adherence.

Ship & complete

We provide shipping options and a logistics quotation, then finalize the logistics arrangement.

Your goods are shipped via your preferred method — air, sea, rail, or courier.

Products arrive at your destination, ready for inspection, storage, or distribution.

The remaining logistics fee is settled upon delivery completion.

Your project is complete once the goods arrive and are confirmed. We continue to support you with any follow-up needs — from reorders to quality checks and future product development.
